Overview

See how pharmacy and health suppliers can meet CVS and Walgreens EDI requirements. Learn key transactions, compliance risks, and multi-partner setup tips.

Landing a vendor agreement with a major pharmacy retailer can open the door to substantial growth, but it also brings a new set of operational requirements. Electronic data interchange (EDI) for pharmacy suppliers goes beyond the exchange of standard retail documents. CVS, Walgreens, and other health retailers typically require detailed information to manage items with expiration dates and other product-specific handling requirements.

Suppliers selling to multiple chains also have to account for differences in each retailer’s supply chain specs, testing processes, and compliance expectations. Meeting CVS, Walgreens, and other major pharmacy chain EDI requirements without creating separate workflows for every trading partner can quickly become complicated. This article will explain the EDI transactions pharmacy and health retailers commonly use, what makes this vertical different, and how suppliers can simplify compliance across multiple retailers with a modern EDI solution.

CVS and Walgreens require suppliers to exchange the 850 purchase order, 856 ASN, 810 invoice and 997 acknowledgment, plus additional documents by vendor type. CVS also requires item-level expiration dates on ASNs for date-coded products and charges $100 per PO for a missing ASN. Suppliers selling to several pharmacy chains can meet each retailer’s rules through one integration that validates every document before it’s sent.

Why Do Pharmacy and Health Retailers Have Strict EDI Requirements?

Pharmacies and health retailers depend on accurate EDI data to keep orders, shipments, inventory, and payments moving through complex distribution networks. For suppliers, that means compliance involves more than sending the right EDI documents. The information that populates each transaction must also match the retailer’s specifications and arrive at the expected time.

Product characteristics can raise the stakes. For example, CVS maintains shelf-life requirements for qualifying date-coded products delivered to its distribution centers. Its current ASN guidance also requires applicable suppliers to send expiration-date information at the item level. Incorrect or missing data can interfere with receiving and may lead to chargebacks for compliance errors.

Suppliers need to follow the rules for each retailer and program rather than treating pharmacy retail EDI as a single universal standard. Requirements can also vary according to the supplier relationship and fulfillment model. CVS assigns different required EDI transactions to warehouse, direct-store-delivery, and import vendors. Walgreens manages supplier policies, procedures, and performance requirements through SupplierNet.

What EDI Transactions Do CVS and Walgreens Commonly Require?

CVS, Walgreens, and other major pharmacy retailers use several familiar retail EDI transactions, but the exact requirements depend on the retailer, vendor type, and program. Suppliers should always confirm their current implementation guides. Suppliers should never assume that one retailer’s specifications will satisfy another’s.

850 Purchase Order

The EDI 850 purchase order (PO) communicates what the retailer wants to buy, including products, quantities, pricing, and delivery information. CVS lists the 850 as a required transaction for warehouse suppliers and sends purchase orders electronically as part of its standard EDI process. Suppliers need to make sure their system can accurately receive the retailer’s PO data and translate it into an order that their ERP or fulfillment workflow can process.

856 Advance Ship Notice

The EDI 856 advance ship notice, or ASN, tells the retailer what's included in a shipment before it reaches the receiving location. The ASN can include order, shipment, carton, and item details that help the retailer prepare to receive the goods. CVS requires an ASN for warehouse purchase orders and applies additional requirements to certain date-coded products, including item-level expiration-date information. These details make accurate 856 data especially important for pharmacy suppliers.

810 Invoice

The EDI 810 invoice electronically provides billing information for an order or shipment. CVS requires the 810 for warehouse and direct-store-delivery suppliers and tests invoices during onboarding. Accurate invoice data helps the retailer match the bill against the purchase order and receiving information. Errors in quantities, prices, identifiers, or other required fields can delay payment or trigger additional exception handling.

852 Product Activity Data

The EDI 852 transaction communicates product activity data, such as sales, inventory, and other activity, from a retailer to a supplier. CVS publishes different 852 specifications for warehouse, point-of-sale, and scan-based trading programs, with access determined by the supplier's program participation. When retailers provide this data, suppliers can use it to monitor product movement and inform replenishment decisions.

Suppliers should verify which EDI transactions Walgreens requires for specific programs and vendor types by consulting the current SupplierNet documentation.

What Makes Pharmacy Retail EDI Different from General Retail?

Pharmacy retail uses many of the same EDI transaction sets as other major retailers, but suppliers may need to provide more detailed product and shipment information. Date-coded products are one example. Retailers can require expiration-date data within an ASN so receiving teams know whether incoming inventory meets shelf-life requirements before it enters distribution.

Product identification can also require extra attention. Some pharmacy products use identifiers such as National Drug Codes (NDCs), while health and beauty items may rely on other product numbers or retailer-specific item data. The supplier’s EDI system must preserve those identifiers accurately as information moves among orders, shipments, inventory records, and invoices.

As previously mentioned, product activity data adds another distinction. An EDI 852 can give suppliers insight into sales and inventory movement, supporting replenishment and inventory planning across retailer locations.

EDI for pharmacy retail also shouldn’t be confused with healthcare EDI used by providers, insurers, and other healthcare organizations. The industries overlap in the products and customers they serve, but their transaction workflows, business requirements, and compliance standards are different.

How Do You Get Compliant With Multiple Pharmacy Retailers at Once?

Supporting several pharmacy retailers doesn’t mean suppliers should have to build an entirely separate operation for every trading partner. A modern EDI platform can provide a single connection between a supplier’s internal systems and multiple retailers while still applying the mapping, validation rules, and document requirements that each partner expects.

The process starts by confirming the current requirements for every retailer and program. Suppliers then need to map those requirements to data from their ERP, WMS, or other business systems and test each transaction before going live. Retailer-specific differences still matter, but they can be managed within a shared integration instead of through disconnected workflows.

Orderful gives suppliers two approaches to multi-retailer compliance. Mosaic supports API-driven EDI integration for companies that want to connect EDI directly with their existing systems. The web-based Pixel platform provides a simpler option for businesses that need to manage orders and fulfillment without building a custom integration.

This approach can make it easier for health and beauty brands to add new trading partners as their businesses grow. Instead of rebuilding the underlying connection each time, suppliers can focus on meeting specifications, testing requirements, and operational rules for new retailers.

What Happens if You Fail Pharmacy Retailer EDI Compliance?

EDI compliance failures can create immediate operational and financial consequences. A rejected or late document may delay receiving, hold up payment, or force teams to investigate and correct data before a transaction can move forward. Repeated errors can also increase the administrative workload for both the supplier and retailer.

CVS provides a clear example. Its current 856 ASN guidance lists a $100 charge per purchase order for a missing ASN, $75 for a late ASN, and $50 for ASN errors. An ASN rejected via a 997 functional acknowledgment, or one containing certain business-critical errors, can also be treated as missing. CVS separately states that invoice discrepancies can lead to rejected EDI invoices or supplier chargebacks.

The larger risk is allowing recurring EDI errors to disrupt the supplier relationship. Pharmacy retailers depend on accurate data to receive products efficiently and keep inventory moving. Suppliers that validate transactions before they submit them and respond quickly to rejection notices can reduce preventable errors while protecting payment cycles and retailer performance.

Walgreens suppliers should check SupplierNet to understand the potential penalties that may apply to their program.

Pharmacy and Health Retail FAQs

What EDI Transactions Does CVS Require?

It depends on your vendor type. CVS’s EDI FAQ lists the 810, 812, 824, 830, 850, 856, 860, 864 and 997 for DC and warehouse vendors; the 810, 812, 824, 864 and 997 for direct store delivery vendors; and the 824, 830, 850, 860, 864 and 997 for import vendors. Always confirm against CVS’s current implementation guides before testing.

What Are CVS’s ASN Chargebacks?

CVS’s 2026 ASN supplement lists $100 per purchase order for a missing ASN, $75 for a late ASN that isn’t received one calendar day before receiving, and $50 for ASN data errors. An ASN rejected through a 997 counts as missing, but CVS doesn’t charge if you send a corrected ASN before the shipment is received.

Do CVS Suppliers Need to Send Expiration Dates in The ASN?

Yes, for date-coded products. CVS requires suppliers with date-coded SKUs to send an item-level expiration date in the 856 ASN using the DTM*036 segment. Products that don’t expire are exempt. Missing or incorrect expiration data can count as an ASN error, so validate it before each ASN is sent.

What EDI Documents Does Walgreens Require?

Walgreens suppliers typically exchange the 850 purchase order, 856 advance ship notice, 810 invoice and 997 functional acknowledgment, with documents like the 860 PO change and 820 remittance depending on the program. Walgreens matches invoices against POs and ASNs, so all three must agree. Confirm current requirements in Walgreens’ supplier documentation before testing.

Is Pharmacy Retail EDI The Same as Healthcare EDI?

No. Pharmacy retail EDI uses ASC X12 supply chain documents like the 850, 856 and 810 to move products from suppliers to retailers. Healthcare EDI covers HIPAA transactions such as 837 claims and 835 remittances between providers and insurers. A supplier selling to CVS or Walgreens needs retail EDI, not HIPAA EDI.

Can One EDI Integration Support CVS, Walgreens and Other Retailers?

Yes. With Orderful, suppliers connect their ERP or WMS once through Mosaic, or use the Pixel web portal, and then add CVS, Walgreens and other retailers as trading partners. Each retailer’s requirements are applied and validated per partner, so a missing expiration date is caught before CVS sees it. Orderful averages under 9 days to get a new partner live.
